Resignation Letter Sample

The key to success is knowing how and when to move on. There may come a time when you are already employed in an organization but have decided to leave for a better opportunity. This will require you to hand in a resignation letter.

It is important to resign on a positive note with your previous employer. You would want to do so with satisfaction and ending the run with the company on good terms with your employer. There are a number of important steps that you have to keep in mind when writing a resignation letter.

The first and foremost thing to remember is to thank the organization. Although many people are tempted to leave by giving the organization a piece of their mind this will only leave a bad final and lasting impression of you. You should in fact try and do the opposite by mentioning positive memories and stating how the job has helped you to develop your career.

It is part of the ethics of courtesy to give proper notice when resigning. This is done so that you give the organization ample time to find a suitable replacement for your position. You should hand in your resignation at least two weeks earlier than when you are planning to leave.

You also have to make sure that you stay professional while maintaining a respectful and courteous tone. The use of controversial and emotional language in your resignation letter should be avoided. If you worked liked a professional then you should quit like a professional.

You should also aim to soften the impact of your decision to leave by mentioning positive statements around it. Begin with a positive paragraph and mention your decision to leave in the middle while closing the letter with yet another positive paragraph.

Below is an example of a resignation letter

Gregory Senior
Comsat

Dear Mr. Jonathan Davis,

It has been an honor to work for a prestigious organization like Comsat for the past three years.
However I have made a decision to leave the company in pursuit of another job opportunity. This letter gives you a two weeks notice in advance that will leave you with ample time to select and train my replacement. My last working day will be the 31st of January 2008.

I will always be grateful and indebted to the organization that helped me mount on years of valuable experience and practical lessons that will take me ahead in life.

Respectfully,
Gregory Senior

There are certain other things that you should keep in mind. Firstly you should not discuss your decision to resign with your co-workers. Asking them for advice on how to write your resignation letter is a definite no-no. Neither should you ask your supervisor to refer your letter especially prior to appraising the reaction of your boss.

In the end your resignation letter should come out short and sweet. It should also state clearly your decision to leave but mentioning the reasons to leave is optional.
